We have all seen the familiar red exclamation points when our MXDs have broken data connections. An MXD can take a long time to open when data paths are no longer recognized, so it may be faster to set data sources in ArcCatalog. Here are a few options to try for data repathing: 1.
In ArcCatalog you can right click the MXD and Set Data Sources. It can take a while to open the Set Data Sources window, so leave it in the background. Once the window opens, select one of the layers and click the 'Replace All' button to find and replace data paths: 2. If you are not having success in ArcCatalog, you can try repathing directly in ArcMap. Open the MXD (may take a while) and right click a layer Data Repair Data Source, and navigate to the new location of your data.
Connections of layers whose data are in the same location will also be repaired. Under the Source tab of the layer properties in ArcMap Set Data Source. You can do this to repath one layer at a time. If you find this too time consuming, you can also try replicating the prior folder structure. For example, if the MXD was previously pathed to your colleague's 'C: Project Data' folder, then create a 'C: Project Data' folder locally, and copy the data there.

The MXD should open with no problem, then you can repath it much faster to another location. I find it helpful to initially save MXDs with relative paths so they are much easier to move around. In ArcMap, click File Document Properties Data Source Options Store relative path names to data sources.

So I just recently began my adventures in GIS through my schools program. Only downside/upside to this is that the program began last year only teaching GIS through the use of ArcPro, opting to ignore ArcMaps because Pro is supposed to become industry standard, and is simpler to learn (quoting my prof.) Now I have some ability with Maps, but I really prefer Pro for all my work. So far this has not stone walled me, because almost everything in Maps can be done in Pro, except make.MXD files. Pro has its own.MPKX file type, which are nice, but there are times where I NEED to provide an MXD. For work I have hit this wall once so far, but I predict that because ArcMaps isn't out for a long time, that it will not be an isolated instance. So I am hoping for some input from folks on what I can do to resolve this issue. ESRI's FAQ is not very helpful, basically saying, which is frustrating because if a client needs an MXD, they wont be happy with a shapefile.
Thanks anyone for any help or opinions! You would very rarely need to send someone an MXD. The problem with the format is that they aren't self-containing; if you send someone a MXD, none of the data layers will be included along with it.

This is part of the reason they've pivoted to a project (aprx) based file structure, and I say its about damn time. Export to a shapefile or geodatabase, and send them that. The symbology and some little customizations won't be included like if you sent a MXD, but that's really minor and isn't worth the hassle of having to remap all the data connections.
